Terms and Conditions of Sale and Entry

Wood HQ, Wood Festival, Septembersong and Wood HQ Happenings (also referred to below as the ”event”) are owned and operated by Wood Festival 2015 Ltd. When we say “we” or “us” in these terms and conditions, we are referring to Wood Festival 2015 Ltd. We are registered in England and Wales with company number 09251718 and have our registered office at 3 Fairview Court, Fairview Road, Cheltenham, Gloucestershire, United Kingdom, GL52 2EX.  We can be contacted at info@woodfestival.com

  1. Tickets are sold by us and by purchasing a ticket, you agree to our terms and conditions of sale and entry and to our privacy policy. 

  2. Tickets are valid only when purchased through us, via a charity fundraising event or through a valid competition, both known about and approved by us. 

  3. Tickets are non-transferrable (unless re-sold through a resale platform approved by us) and non-refundable except in the event of cancellation, in which case, all funds less booking and any transaction fees will be refunded to your original payment method. Inclement weather and curtailment of the event will not warrant a refund. In the event of cancellation, all refunds must be requested within 30 days by emailing info@woodfestival.com

  4. Payments made will be in GBP (Great British Pounds). Payments in any other currency will be converted to GBP based on the exchange rate at the time payment is made. 

  5. Children under 2 go free but require a free ticket. Children 2-12 need a child ticket and children 13-17 need a teen ticket. Children under 18 must be accompanied by an adult who accepts full parental responsibility for the child and remains on site at all times whilst the child is on site. 

  6.  Wood HQ is committed to understanding and improving access for everyone and new for 2026 has signed the Attitude is Everything Live Events Access Charter, a framework, toolkit, and assessment process designed to drive genuine accessibility across the live events and music industry. We have accessible parking, camping and toilet facilities. We offer a free Personal Assistant or Carer ticket for ticket holders over the age of 18 or for children requiring additional support. This requires supporting documentation. Please get in touch if you have specific access requirements by emailing info@woodfestival.com

  1. Please check our website for event information before you arrive. We recommend you check 24 hours in advance. 

  2. We may need to cancel the event and reserve the right to cancel your booking. In this case, we will notify you as soon as possible. In the event of cancellation, we will refund all funds less booking fees and any transaction fees to your original payment method.

  3. You attend this event at your own risk. We will not be held liable for any loss, injuries or damages sustained at the event including damage, theft or losses to property and motor vehicles, excepting losses which cannot by law be excluded or limited, such as fraud or cases involving injury, illness or death where the damage was caused through our own negligence. Complaints or claims must be made to us in writing within 30 days of the event.

  4. Any personal property brought to our event is at your own risk. All vendors take card payments. We do not recommend bringing cash. 

  5. We reserve the right to refuse admission in any circumstances and/or evict any person or people from the event site, without refund, in order to facilitate the safety, security and comfort of our guests and/or due to behaviour likely to cause damage, nuisance or injury and/or for any breach of these Terms and Conditions of Sale and Entry.

  6. We reserve the right to change the programme at any time and without notice. Tickets will not be refunded in this case. 

  7. You consent to film and sound recording (including photography) as part of the audience. These recordings may be used on our website and/or for marketing purposes.

  8. Commercial trading is not allowed at our event unless agreed by us in advance through a trader application. All commercial trading is subject to fees, proof of public liability insurance and risk assessments.   9. You may not film, record or photograph the event for commercial purposes without our consent. Those wishing to record the event in any medium for commercial purposes must make a request at least 2 weeks prior to the event by emailing info@woodfestival.com We reserve the right to refuse any such requests. 

  10. Limited car parking is available. Separate car parking tickets must be purchased for Wood Festival or Septembersong. As space is limited, we recommend purchasing car parking tickets in advance. 

  11. There are a limited number of camper van spaces at Wood Festival and Septembersong and are at an additional charge. Camper van tickets must be purchased in advance. Camper vans cannot exceed 6m in length. 

  12. Caravans are not permitted. 

  13. Due to limited space for camping at Wood and Septembersong, gazebos are not permitted. 

  14. No animals are permitted on site with the exception of guide dogs.

  15. Personal sound systems are prohibited. 

  16. We operate a Challenge 25 policy. If you look under 25, you may be asked to show proof that you are at least 18 years of age to be served alcohol. Accepted forms of ID include: passport, driving, citizen card or other identity card which includes your date of birth. 

  17. Sale or use of illegal drugs is not tolerated at our events. In the case of suspected drug sale or use, we reserve the right to search persons, luggage or vehicles at any point during the event. Those found in possession of illegal drugs will be asked to leave and may also be detained by security teams and the police called.   

  18. Excessive exposure to loud music may be harmful to your health. 

  19. The camping field for Wood and Septembersong is used for grazing when we are not here. Please leave no trace by using recycling points and bins provided and by taking all your belongings with you when you leave. 

  20. We will take reasonable steps to comply with all applicable guidelines aimed at reducing the spread of disease and will notify you of any such measures in advance. You must comply with all government guidelines, as well as Festival guidelines and entry requirements. These guidelines may be updated before or during the Festival, and you must agree to comply with any revised guidelines of which you have been notified. You understand that you are fully responsible for all costs incurred in following all guidelines and/or entry requirements, including all government guidelines.We do not take responsibility for the health or conduct of other Festival attendees and cannot guarantee that all attendees will be free from disease. We accept no responsibility if you contract any illness at the Festival, or for any illness, injury, or death resulting from disease. You acknowledge and agree that attendance at the Festival and use of on-site facilities is entirely at your own risk. To protect the safety and wellbeing of Festival attendees, staff, performers, and volunteers, we reserve the right to require any person who fails to comply with these guidelines to leave the Festival without entitlement to a refund.

  21. These terms and conditions are governed by English law and any dispute arising out of or in connection with these terms shall be subject to arbitration.
